Key Responsibilities
- Assist with day-to-day office operations, ensuring a professional, organized, and efficient work environment.
- Oversee office vendors, service providers, equipment maintenance, and facility-related needs.
- Coordinate executive and team calendars, meetings, travel arrangements, and company events.
- Maintain and organize company records, contracts, permits, licenses, and compliance documentation.
- Support onboarding activities, employee engagement initiatives, and office-wide communications.
- Monitor office budgets, process invoices, track expenses, and prepare reimbursement requests.
- Identify opportunities to improve administrative processes, workflows, and operational efficiencies.
- Serve as a key point of contact for internal staff, clients, consultants, and vendors.
- Assist with document formatting, proofreading, and administrative tasks for project teams.
- Support meeting scheduling and meeting note distribution.
- Help maintain organized electronic filing systems.
- Assist Project Managers with staff scheduling.
- Provide general administrative support as needed.
- 2+ years of experience in office administration, administrative support, office coordination, or a related role.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently and collaborate effectively with team members.
- Experience in engineering, architecture, construction, or professional services environments is a plus.
- This is an in-office, part-time role with a work schedule of Monday through Friday, 9:00 AM–3:00 PM.
- Ability to sit for extended periods and occasionally bend or reach overhead.
- Ability to lift and carry up to 10 lbs.
- Valid driver's license and ability to drive personal vehicle occasionally for business purposes.
Salary range for position: $20/hr. - $30/hr.
